Malloy Events is a comprehensive event design and production house, specializing in both A/V services as well as specialty lighting, event furniture rentals, and event planning and execution.
The Executive Assistant is responsible for providing administrative support by conducting research, handling information requests, as well as performing routine administrative functions such as arranging travel, meetings, preparing payroll and managing overhire.
Essential Functions and Responsibilities:
Coordinate and direct office activities, such as keeping records up to date, budget preparation, personnel issues, housekeeping
Request COIs, W9s
Provide payments for incoming bills as well as vendors and overhire staff
Process payroll information
Perform general office duties, such as ordering supplies, maintaining records and performing basic bookkeeping
Read and analyze incoming emails to determine their significance and if further action is needed
Interpret administrative and operating policies and procedures for employees
Update necessary databases (calendars, spreadsheets, Streak, etc)
Coordinate travel arrangements including truck rentals
Job Requirements and Qualifications:
Well organized and attention to detail
Advanced verbal and written comprehension and communication skills
Self motivated and self driven
Problem solving in high pressure situations
Excellent interpersonal and team management skills
